Rental Terms & House Rules

Introduction

Please review the following rental terms before submitting an enquiry. They are intended to ensure a comfortable, safe and respectful stay for residents, neighbours and the property owner.

The final rental conditions, rates and services applicable to each stay will be confirmed in the individual rental agreement. In the event of any discrepancy, the signed rental agreement, inventory and inspection report will take precedence over the information provided on this page.

1. Temporary furnished accommodation

The apartment is offered as fully furnished accommodation for temporary and medium-term stays. It is particularly suited to expatriates, consultants, international employees, professionals on assignment and families requiring temporary housing in Ghent.

The apartment is not offered for nightly stays, holidays, parties or tourist accommodation.

2. Rental period

A minimum rental period applies and will be confirmed with each proposal.

The agreed arrival and departure dates are stated in the rental agreement. Any extension is subject to availability and requires prior written approval from the landlord.

The rental agreement does not renew automatically unless this is expressly confirmed in writing.

3. Principal residence and domicile

The apartment is intended as temporary accommodation and is not offered as the tenant’s principal residence.

The tenant or occupant confirms that they maintain their permanent residence or principal address elsewhere. Registration or domiciliation at the apartment address is not permitted without the landlord’s prior written agreement.

This provision must reflect the actual nature and circumstances of the stay. If the apartment is in practice used as the tenant’s principal residence, mandatory residential tenancy rules may nevertheless apply. The Flemish residential tenancy regime applies to homes used as the tenant’s principal residence with the landlord’s consent.

4. Rent and payment

The monthly rent and all applicable charges are stated in the individual rental proposal and agreement.

Unless otherwise agreed:

  • rent is payable monthly in advance;
  • payment must be received by the date stated in the agreement;
  • bank transfer costs are borne by the tenant;
  • late or incomplete payments may result in additional administrative or recovery costs, where legally permitted.

The rental rate may depend on:

  • the duration of the stay;
  • the number of occupants;
  • included utilities and services;
  • use of the private garage;
  • requested housekeeping services;
  • additional linen, laundry or ironing services.
5. What is included

Depending on the selected rental package, the rent may include:

  • use of the fully furnished apartment;
  • furniture, appliances and kitchen equipment;
  • high-speed internet;
  • landline telephone availability;
  • smart-lock access;
  • ordinary maintenance support;
  • building or common-area charges;
  • water, heating and electricity within the agreed usage allowance;
  • bed linen and towels;
  • scheduled cleaning services, where specifically included.

The exact inclusions will always be listed in the individual offer and rental agreement.

6. Utilities and fair-use policy

Utilities may either be included within an agreed monthly allowance or charged separately according to actual consumption.

Where utilities are included, normal and reasonable domestic use is expected. Excessive consumption may be invoiced separately based on meter readings, supplier invoices or the agreed fair-use conditions.

Residents are asked to:

  • switch off lighting and appliances when not in use;
  • use heating responsibly;
  • avoid leaving windows open while heating is operating;
  • report leaks or technical problems immediately.
7. Optional services

The following services may be available on request and at an additional charge:

  • weekly apartment cleaning;
  • additional housekeeping;
  • laundry and ironing service;
  • additional bed-linen changes;
  • additional towel changes;
  • final cleaning;
  • use of the private garage box.

Availability and prices are confirmed separately.

8. Security deposit

A security deposit is required before access to the apartment is granted.

The amount, payment method and release conditions are specified in the individual rental agreement. The deposit may be used, where applicable, to cover:

  • unpaid rent or charges;
  • damage beyond normal wear and tear;
  • missing inventory;
  • excessive cleaning;
  • lost access devices;
  • unauthorised replacement of locks;
  • excessive utility consumption;
    other outstanding contractual amounts.

The balance is released after departure once:

  • the apartment has been inspected;
  • all rent and charges have been settled;
  • the inventory has been checked;
  • all access devices have been returned or deactivated;
  • any damage or additional cleaning costs have been assessed.

When the Flemish principal-residence tenancy regime applies, specific statutory rules govern the amount and method of the rental deposit.

9. Inventory and inspection report

A detailed inventory and inspection report may be prepared at the start of the rental period.

This may include:

  • furniture and decorative items;
  • kitchen appliances and equipment;
  • crockery, glassware and utensils;
  • bed linen and towels;
  • electronics;
    keys and access devices;

  • photographs of the apartment;
  • meter readings;
  • existing marks, defects or damage.

The tenant must report any discrepancy or previously unnoticed defect within the period stated in the rental agreement. If no comments are received, the inventory and inspection report will be considered accepted.

The apartment, its contents and all access devices must be returned in substantially the same condition, allowing for normal wear and tear.

10. Insurance

The building and the landlord’s furniture and contents are insured under the landlord’s applicable insurance policies.

This insurance does not automatically cover:

  • the tenant’s personal belongings;
  • tpersonal liability;
  • tdamage caused by the tenant, occupants or visitors;
  • ttheft of personal property;
  • tbusiness equipment belonging to the tenant or employer.

The tenant may be required to maintain appropriate tenant liability, fire and contents insurance for the duration of the stay. The exact insurance obligations will be stated in the rental agreement.

11. Cancellation before arrival

Cancellation conditions are specified in the individual proposal or rental agreement.

Cancellation fees depend on the timing of the cancellation, the duration of the booking and the agreed rental period. Any applicable charges will be clearly stated in the individual rental proposal before confirmation.

Do not publish a detailed cancellation scale until you have fixed the commercial conditions you want to apply.

12. Early termination

A fixed-term rental cannot normally be ended early without the landlord’s written agreement, except where mandatory law provides otherwise.

When early termination is accepted, the tenant may remain liable for:

  • rent during the agreed notice period;
  • an early-termination fee;
  • charges until a replacement tenant starts;
  • administrative costs;
  • cleaning or reinstatement costs.
  • The exact conditions will be specified in the rental agreement.
13. Check-in and access

Check-in arrangements are confirmed before arrival.

Access is provided using a personal smart-lock code or another approved access method. The access code:

  • is personal;
  • may not be shared with unauthorised persons;
  • may not be published or stored publicly;
  • may be changed or deactivated for security reasons;
  • must only be used during the agreed rental period.
  • The landlord or property manager must be informed immediately if the code is compromised.
14. Check-out

At departure, residents must:

  • leave the apartment in a reasonably clean and orderly condition;
  • remove all personal belongings;
  • empty the refrigerator and dispose of opened food;
  • correctly sort and dispose of waste;
  • return furniture and household items to their original locations;
  • report any damage;
  • return or deactivate all keys, remotes and access devices;
  • close windows and doors;
  • switch off appliances;
  • follow the agreed check-out instructions.

Additional cleaning, waste removal, damage or missing-item costs may be deducted from the security deposit.

15. Final cleaning

A mandatory final-cleaning fee may apply.

The final-cleaning service does not include:

  • removal of excessive waste;
  • washing large quantities of dishes;
  • cleaning caused by smoking;
  • specialist stain removal;
  • restoration following misuse;
  • removal of abandoned belongings;
  • repairs or replacement of damaged items.

Such costs may be invoiced separately.

16. Registration of the rental agreement

Where legally required or considered appropriate, the rental agreement and inspection report may be registered through MyRent. The Belgian Federal Public Service Finance provides MyRent for the registration of rental contracts and property inspection reports.

Closing statement

By signing the rental agreement, the tenant and all occupants agree to respect these rental conditions and house rules.

Serious or repeated breaches may result in:

  • additional charges;
  • withdrawal of optional facilities;
  • liability for damage;
  • formal notice;
  • termination of the rental agreement, subject to applicable law.
